Kilimanjaro Classic Car Show & Adventure 2025 - Terms and Conditions

1. Pre-Registration Requirement

Only pre-registered members are eligible to submit their cars for the event. You must use your unique registration number provided during manual registration. If you do not have a registration number, please contact the ASA team for registration assistance.

2. Photo Submission Requirements

You are required to upload the following photos of your vehicle:

• Front View - Required
• Rear View - Required
• Side View - Required
• Engine View - Optional

All photos must be clear, well-lit, and accurately represent your vehicle. Photos should be in JPG, PNG, or GIF format with a maximum file size of 5MB each.

3. Review Process

All car submissions will be reviewed by the ASA team before being published for public voting. The review process may take 3-5 business days. You will be notified via SMS or email regarding the status of your submission.

4. Approval Criteria

Cars will be evaluated based on:

• Authenticity and historical significance
• Condition and presentation quality
• Photo quality, clarity, and completeness
• Compliance with event requirements

5. Rejection and Resubmission

If your submission is rejected, you will receive a notification via SMS with the reason for rejection. You may edit and resubmit your car entry from your participant dashboard after addressing the issues mentioned in the rejection notice.

6. Public Voting

Approved cars will be published on the public gallery and made available for voting. Each person can vote once using their email address. Voting will be monitored for fairness and authenticity. Fraudulent voting attempts will be detected and prevented.

7. Content Ownership and Usage Rights

By submitting photos, you grant African Sports Agency (ASA) the right to use, display, and promote your content for the purposes of the event, including but not limited to:

• Public gallery display on the event website
• Event marketing and promotional materials
• Social media posts and campaigns
• Event documentation and archives
• Press releases and media coverage

You retain ownership of your photos, but grant ASA a non-exclusive, royalty-free license to use them for event-related purposes.

8. Event Participation

Submission of your car does not guarantee participation in the physical event. Final participation will be confirmed separately by the event organizers. Additional requirements may apply for physical event participation.

9. Data Privacy

Your personal information (name, phone number, car details) will be used solely for the purposes of this event and will be handled in accordance with data protection regulations. Your information will not be shared with third parties without your consent, except as required by law or for event administration purposes.

10. Awards and Recognition

Winners will be determined based on public voting results and will be announced after voting closure. Awards include:

• Best in Show - Overall winner
• Oldest Car - Earliest manufactured year
• People's Choice Award - Highest number of votes

Winners will be notified and recognized during the event ceremony.

11. Code of Conduct

All participants are expected to maintain respectful and professional conduct throughout the submission and voting process. Any attempts to manipulate votes, submit false information, or engage in fraudulent activities will result in immediate disqualification.

12. Acceptance

By checking the terms and conditions checkbox and submitting your entry, you acknowledge that:

• You have read, understood, and agree to be bound by these terms and conditions
• All information provided is accurate and truthful
• You are the owner or authorized representative of the vehicle being submitted
• You have the right to grant the usage rights specified in these terms
